Long-stay tenants want to know where they stand. One asks what they have paid this financial year. Another is a few months behind and wants it in writing. A third has just moved across from another park system with arrears still owing. Until now, answering that meant a spreadsheet beside the booking system.
Two updates to Camper BMS take that spreadsheet away: account statements for leases and customers, and balances on leases.
There is also a simpler way to set up discounts, and free-night offers that cover only the nights you choose.
Camper BMS is park management software. It is not a bank or a payment provider, and it never holds your guests' money. Card payments go through your park's own payment provider, which pays your park directly, and statements report what your park has recorded.
Account statements
An account statement is a PDF of everything on a lease or a customer's account for a period: the invoices you raised, the payments received, refunds, and any balance changes you entered. It opens with the balance brought forward, keeps a running balance, and closes with the total due and what is overdue.
Open a lease or a customer, click Statement, and choose the period:
- Since lease start, or since the customer's first invoice, for the whole history.
- Since last emailed statement, which picks up the day after the last statement ended and opens at its closing balance, so each month's statement carries on from the one before.
- Custom dates, for a quarter or a financial year.
Check the preview, then download the PDF or email it. On a lease, every tenant with an email address is ticked to start with. Each unpaid invoice on the statement has a link to pay it online, so a tenant can read what they owe and pay it in the same sitting.
Every statement you send is kept under Previous statements, with who made it, who it went to and its closing balance. If an email cannot be delivered, it says why, such as a tenant with no email address.
Lease balances
Moving tenants across from another system usually means bringing their arrears or credit with them. Each lease now has a balance you can record and adjust, with a note for each change. When you are ready, invoice some or all of it, and the balance and the invoice stay in step. The balance and its history appear on the lease's statement.
Free nights on the nights you choose
A stay 3, pay 2 offer is good for filling quiet midweek nights, but not if it also gives away a Saturday in January. Free-night offers can now cover only the nights you pick:
- Days: tick the nights of the week that count. For example: Sunday to Thursday.
- Prices: choose off-peak, standard or peak nights. Untick Peak and your peak dates never count. In areas on dynamic pricing, each night counts as whichever price it is closest to.
- Stay dates: the first and last night the offer covers, such as the winter months.
Guests need enough of those nights in a row to qualify. For example: buy 2, get 1 free on Sunday to Thursday, off-peak and standard nights. A guest staying Sunday to Wednesday gets a night free. A guest staying Thursday to Sunday does not, because Friday and Saturday do not count. If a stay qualifies and runs longer, the extra nights are charged at the full rate. Tick Give more free nights on longer stays to give another free night for each full run.
The cheapest qualifying night is the free one. Extra adult and child charges made per night come off with it. Add-ons, pet fees and charges made once per booking are still charged.
A simpler way to set up discounts
Clicking Create New Discount now opens a wizard that asks one question at a time: what the deal is, which nights it covers, who can use it, what it is called, and when guests can book it. Leave the code blank and the deal applies to every booking that fits, with nothing for guests to type.
Before you save, Try it on a stay shows what a guest would pay at your real prices. Pick an area, an arrival date, the nights and the guests, and see each night's price, which nights are free and what the guest saves. If the stay does not qualify, it tells you why.
Percentage and dollars off discounts can come off the site price only, whether they are for everyone, some areas or some guests. Add-ons and pet fees are then charged in full, and checkout tells the guest so. If you would rather see every setting on one page, the full form is still there, laid out in the same order as the wizard.
Codes are now checked again when the guest books, against their email and their stay. If a guest has already used the code as many times as allowed, or is not on the discount's guest list, they are told why and can book at the full price instead.
See Creating Discounts in the help centre for each step.
What it costs
Account statements, lease balances and discounts are part of Camper BMS for every park, at no extra cost.
Common questions
Who can I send a statement to?
Download a statement as a PDF, or email it to the tenants on a lease or to a customer. Every unpaid invoice on the statement has a link to pay it online.
Can a free-night offer cover only midweek, off-peak nights?
Yes. Choose the days of the week, the price levels (off-peak, standard and peak) and the stay dates the offer covers. Guests need enough of those nights in a row to qualify, and any other nights in the stay are charged at the full rate.
Are extra adult and child charges free on the free night?
Yes, when they are charged per night. Extra guest charges made once per booking, add-ons and pet fees are still charged.
Do these cost extra?
No. Account statements, lease balances and discounts are part of Camper BMS for every park.
